Background of Business
Pro Financial Fitness (PFF) is a start-up business which started in September 2020.
PFF helps NC nonprofits go from Startup to Growth to Sustainability.

Job Description:
This position is responsible for providing bookkeeping, accounting, payroll,
consulting, training, and board of director services for clients.

Collect monthly bank statements from clients and perform data entry into each
client’s account within the accounting system using the accounting correct codes for each
transaction.

Code clients accounting transactions inside of various online Accounting software
that come over electronically from their bank accounts (i.e. bank integration). Reconnect
the bank account to the accounting system, if necessary.

Connect the clients banking accounts to external sources like PayPal, Venmo,
Square, etc and record transactions to the appropriate accounting code for coding
purposes.

When required, attend client’s Finance Committee Meetings and Board Meetings as
necessary via Zoom or Microsoft Teams.

Create and email a Profit & Loss statement, Balance Sheet, and other
monthly/quarterly/etc. reports when necessary, based on the client requirements.

When interacting with new clients who want to set up a non-profit organization in
the state of NC, as you gather information from the client, do so with utmost
confidentiality and accuracy and then file forms for the client with the State of NC and
the Federal Government.

Try to cultivate new business through “virtual or in-person” networking.

If necessary, assist with filing the BOI (Beneficial Ownership Information) report for
PFF (if BOI sticks around and continues to be a requirement. – this seems to be a non-
issue now).

Complete 990’s, Special Projects, and Pre-Audit Services for clients (Income for
PFF).

Carry out all-day Financial Boot Camps from larger nonprofits (income for PFF).

Other duties as assigned.

Growth Opportunities:
This role may eventually oversea the individual who holds the Bookkeeping and
Accounting Representative position, who lives in Greensboro, North Carolina and
doesn’t do accounting but does thank you letters and emails and updating donor
databases, which are spreadsheets.

In the future, this position will take over Payroll and Accounting for PFF.

Specific Requirements:
Have working knowledge of basic accounting and bookkeeping skills.
Ability to communicate clearly and meet deadlines.

Basic technical skills, i.e. understanding how to navigate accounting and payroll
software.

Knowledge of Xero Online Accounting Software, Aplos Online Accounting
Software, Quickbooks Online Accounting Software, and other Accounting systems is
preferred but not required (these are systems that PFF uses on behalf of clients)

Have high level working knowledge of auditing and compliance (in relation to non
profits) and can answer all questions that clients ask

Pro Financial Fitness (PFF) will provide the candidate chosen the following:
A laptop to be used during employment and returned to Pro Financial Fitness at the
end of employment

Mileage reimbursement to Business Networking events, Client offices, Community
events, etc. in the State of North Carolina.

Workers Compensation Insurance to protect the employee while working for PFF.
A PFF work email address

Flexible Work Schedule (you can work nights/weekends or work shorter/longer work
days)

A good feeling that you are making a difference in the nonprofit world

Educational and Work Requirements

At a minimum, applicant should have received
A – a 4-year Bachelors of Science degree in Accounting or a Masters Degree in Accounting,
Business, or another Business-related field.
B – a CPA certificate.

Special Preferences

If you live near the Orange/Durham County line (in North Carolina), then that could be
advantageous since the business is located on the Orange/Durham County line. Also, if you live
in the Triangle, that is advantageous as almost all of PFF clients are in Raleigh, North Carolina,
one of which is visited one day per week and PFF works 3-6 hours there each week. If candidate
doesn’t live in the Triangle, you would work remotely and do in-person check-ins with me (Mark
Prokop) via zoom meetings.

Other Items
This is a virtual position. Pro Financial Fitness (PFF) does not have a physical office.
All clients, except one, are assisted virtually.

To work for Pro Financial Fitness, employees need to love helping non profit clients (by
providing value) more than anything else. Candidate must be willing to do anything “legally of
course” to help PFF, including finding new clients and earning income for PFF from those new
clients.

Salary and Hours
$25 per hour at 15-25 hours per week, increasing both rate and hours, as income allows it (i.e.
finding new clients or having current clients pay for other -services.
Benefits
For this position, Pro Financial Fitness only provides Workman’s Compensation Insurance.
Reimbursements
Chosen candidate can receive a reimbursement of ink cartridges if necessary, i.e. the candidate is
using their own printer to print out PFF work and they eventually need new ink.

Client Assignment and Future Opportunities – CPA-Candidate Role
Currently, the Owner is handling a specific client located in downtown Raleigh, North Carolina.
The client requires on-site visits, and Pro Financial Fitness (PFF) staff typically park in a nearby
parking garage or location close to the NC State Capitol, then walk to the client’s office. Each
visit lasts approximately 3 to 6 hours. Parking and mileage expenses for these visits will be
reimbursed.
The goal is for this client to eventually be transitioned to the CPA-candidate or Director of
Accounting, who would ideally take over these visits and begin going to the client’s office most
Fridays (or another weekday).
Additionally, if PFF acquires new clients with in-person needs in the candidate’s local area, the
candidate will be expected to conduct site visits for those clients as needed.
PFF is also in discussions to serve as a subcontractor for a North Carolina non-profit
organization. If this partnership is secured—dependent on the non-profit receiving a grant—part
of the CPA-candidate’s responsibilities would include supporting other NC non-profits in areas
such as compliance, audit readiness, fundraising preparation, and grant writing.

Lastly, PFF has been approached by a large NC non-profit seeking a CPA. If PFF is awarded this
engagement, the CPA-candidate would manage the accounting work for this organization as part
of their responsibilities.
